Office Manager Assistant

We are looking for an Office Manager Assistant for a prestigious client based in Malta. Top package for the right candidate.

 

Role Summary:

To provide general office management support, clerical support in different service lines as well as ad- hoc reception duties.

 

Responsibilities:

Supporting the Office Management:
-Process invoices, bookkeeping, maintaining budget book
-Supporting procurement and vendor management
-Booking flights, accommodation, visa applications and travel insurance
-Scheduling meetings when required
-Booking external vendors when required
-Assisting with office maintenance, upkeep & facility servicing
-Support organising internal & external events
-Help in coordinating & recording fire drills
-Supporting supplier relationship management

Service Line Duties:
-Supporting service lines with clerical duties from time to time depending on season and workload.
-Preparing Audit reports and financial statements

Ad hoc Reception Duties:
-Handling of telephone calls, both incoming and outgoing.
-Greeting and directing clients visiting the office for meetings.
-Taking and retrieving messages for various personnel.
-Receiving, sorting, and forwarding incoming mail.
-Coordinating the pick-up and delivery of express mail services (FedEx, UPS, etc.)
-Assisting in the ordering, receiving, stocking, and distributing office supplies.
-Assisting with other related clerical duties such as printing, filing, photocopying, scanning, and binding.

-Preparing meetings & training rooms

Requirements:

-Good standard of education, preferably at Advanced Level
-Qualifications in administration or secretarial subjects would be considered an asset.
-Proficient in Microsoft Office applications, particularly Word and Excel
-Excellent communication skills in English (understanding Maltese is considered an assest)
-Highly organised and detail-oriented
-Able to multitask and prioritise effectively
-Be a good team player and a people person
-Pleasant personality with a client-oriented mindset
